Guests

Guest profiles, stay history, and notes.

On this page

Guest Profiles is your hotel's address book — every person who has ever stayed, along with their history, notes and contact details, kept in one searchable place.

1. Guest Profiles

A profile is created automatically the first time a guest is booked, but you can also add one manually:

  1. Go to Guests → Guest Profiles and click New Guest.
  2. Enter their name, phone number, email, and ID document details if available.
  3. Add any notes worth remembering — preferences, allergies, VIP status, or past issues.

Opening an existing guest's profile shows you:

  • Stay history — every past and upcoming booking, with dates, rooms and amounts paid.
  • Rest bookings made by that guest, listed separately from overnight stays.
  • Charges from hotel businesses or services incurred during any stay (bar tabs, laundry, spa visits, etc.), if your property tracks them against the guest.
  • Notes, editable at any time by staff with access to Guests.

Guest profiles are also what powers the searchable guest picker used elsewhere in the system — for example, selecting who a laundry order belongs to under Hotel Businesses.

A guest can be merged or edited if duplicate profiles were accidentally created, but profiles with completed stays attached cannot be deleted outright, to preserve financial and booking history.
