Reception

Take bookings, manage the calendar, and check guests in and out.

On this page

Reception is the front desk's home base — every reservation, whether it is a full overnight stay or a short daytime rest booking, is created and managed from here.

1. Bookings

To create a standard overnight booking:

  1. Open Reception → Bookings and click New Booking.
  2. Search for an existing guest or create a new guest profile inline — name, phone number, and ID details are enough to get started.
  3. Pick check-in and check-out dates; available rooms for that date range are shown with their category and rate.
  4. Select one or more rooms, confirm the rate (it can be adjusted per booking if you have permission), and record any deposit taken.
  5. Save the booking. It appears immediately on the Booking Calendar and in the guest's profile history.

From the bookings list you can also edit dates, change rooms, apply a discount, cancel with a reason, or record additional payments — every change is timestamped so there is always an audit trail.

2. Rest Bookings

Rest bookings cover short, same-day stays (a few hours rather than a full night) and are tracked separately from overnight bookings so they don't distort your occupancy and ADR figures.

  • Create one the same way as a regular booking, but choose Rest Booking as the type.
  • Instead of check-in/check-out dates, you set a start time and a duration (or an end time).
  • Rooms used for a rest booking are automatically blocked on the calendar for that time window only, freeing up again afterwards.
  • Rest booking revenue is tracked under its own transaction source in Finance, so it never gets mixed into your overnight booking income.

3. Booking Calendar

The calendar gives you a room-by-room, day-by-day grid of every booking — the fastest way to see what is free before you commit to a date on the phone with a guest.

  • Each bar represents a booking, colored by status (confirmed, checked-in, checked-out, cancelled).
  • Click any bar to open that booking's details, or click an empty cell to start a new booking pre-filled with that room and date.
  • Drag a booking's edge to extend or shorten a stay, or drag the whole bar to move it to a different room — both update the underlying booking instantly.
  • Use the date range controls to jump weeks or months forward, or filter to a single room category.

4. Check-In / Check-Out

Turning a reservation into an actual stay, and closing it out again, happens in two quick steps:

  • Check-in — open the booking on its arrival day and click Check In. Confirm ID verification and any outstanding balance, and the room's status flips to occupied.
  • Check-out — on departure day, open the booking and click Check Out. Settle any remaining balance (room charges plus anything billed from hotel businesses or services during the stay), and the room is released back to Housekeeping as "needs cleaning" so it shows up on the Housekeeping Tracker automatically.
  • A guest can also be checked out early or have a late check-out recorded, both of which are logged on the booking.
